This policy explains what information Repair Shop Software (“we”, “us”, “our”) collects, how we use it, who we share it with, how we share it, and how we keep it safe. Repair Shop Software is a New Zealand-based business that provides desktop repair-shop management software. If you have any questions, email [email protected].
The short version: Repair Shop is offline-first. The customer, repair, sales and inventory records you enter into the app stay in an encrypted database on your own computer — they are never sent to us. We only handle the limited information needed to sell you a licence, activate it and support you.
1. Information we collect
When you visit this website. Our web server and our content-delivery/security provider (Cloudflare) record standard technical information such as your IP address, browser type, the pages you request and timestamps, for security, diagnostics and abuse prevention. This site loads a web font from Google Fonts, which means Google receives your IP address when the font loads. With your consent, we also use Google Ads conversion tracking to measure whether one of our ads led you to download the demo; this sets advertising cookies. In the EEA and the UK these stay off until you accept our cookie banner, and you can decline. We use no other advertising or cross-site tracking cookies.
When you buy a subscription. Payments are processed by Stripe. Through Stripe you may provide your name, email address, billing address and payment card details. We never receive or store your full card number — that is handled entirely by Stripe. From Stripe we receive your name and email address, the plan and price you chose, your subscription status, and Stripe customer and subscription identifiers. We also store the licence key we issue to you.
When you activate the software. To bind your licence to your computer and count the seats included in your plan, the app sends us your licence key, a stable identifier for your computer (its machine ID) and the app version. We use these only to check your seat count and to let you move your licence between computers. They contain none of your business or customer data, and do not let us recover any.
When you contact us. If you email us for sales or support, we keep your message and contact details so we can respond.
Your business data stays with you. The information you manage in the app — your customers, repair tickets, sales, invoices, inventory and staff — is stored locally on your machine in an encrypted database. It is not transmitted to us, and we cannot see it.
2. How we use your information
- To provide, licence and update the software.
- To process your payment and manage your subscription.
- To send your licence key and other transactional messages (for example receipts and subscription notices).
- To provide customer support.
- To activate licences, count seats, and detect and prevent fraud, abuse or licence misuse.
- To meet our legal, tax and accounting obligations.
Other than measuring our own Google Ads with your consent (as described above), we do not use your information for advertising, and we never sell it.
3. Who we disclose your information to
We share the minimum necessary information with the service providers that help us run the business:
- Stripe, Inc. — payment processing and subscription billing. See the Stripe Privacy Policy.
- Cloudflare, Inc. — content delivery, DNS and website security. See the Cloudflare Privacy Policy.
- Google — Google Fonts (delivery of the web font used on this site; Google receives your IP address for that request) and, with your consent, Google Ads conversion measurement (advertising cookies that tell us whether our ads led to a demo download). See the Google Privacy Policy.
- Transactional email is delivered from our own mail server.
We may also disclose information where required by law, to enforce our terms, or as part of a merger, acquisition or sale of the business. We do not sell your personal information. Other than the Google Ads conversion measurement described above (used only with your consent), we do not share it with advertising networks.
4. How we disclose it (method)
Information shared with the providers above is transmitted over encrypted connections (HTTPS/TLS) through their secure programming interfaces, and is limited to what each provider needs for its specific purpose. Card details are transmitted directly to Stripe from the Stripe-hosted checkout page and do not pass through our servers.
5. How we safeguard your information
- The website, the checkout and the licence-activation service are served over HTTPS/TLS.
- Card data is handled solely by Stripe, a PCI-DSS Level 1 certified provider; we store only limited billing metadata (such as your email and plan).
- Our secret keys are stored outside the public web root with restricted access.
- Licence keys are stored in hashed form on our activation server.
- The app’s local database is encrypted at rest on your own computer.
No method of transmission or storage is completely secure, but we take reasonable technical and organisational measures to protect your information.
6. How long we keep it
We keep subscription and billing records for as long as you have an account and for as long afterwards as we are required to by tax and accounting law. Activation records are kept while a licence is active. Technical logs are kept for a limited period for security and diagnostics.
7. Your rights
Depending on where you live, you may have the right to access, correct, delete, export, or restrict the processing of your personal information, and to object to certain uses. To make a request, email [email protected] and we will respond within the time required by applicable law. We handle personal information in accordance with the New Zealand Privacy Act 2020, and, where they apply, the EU/UK GDPR and the California Consumer Privacy Act. If you are in New Zealand, you may also complain to the Office of the Privacy Commissioner.
8. International transfers
Our providers (including Stripe, Cloudflare and Google) operate globally, so your information may be processed on servers outside New Zealand under the safeguards those providers maintain.
9. Cookies
This marketing site does not use advertising or cross-site tracking cookies. Cloudflare may set a strictly-necessary cookie to keep the site secure. Our staff-only admin area uses a session cookie for login.
10. Children
Repair Shop Software is business software and is not directed to children. We do not knowingly collect personal information from children.
11. Changes to this policy
We may update this policy from time to time. The “last updated” date at the top shows when it last changed, and we will make any materially different version available here.
